Carrier context

An extra pickup changes the origin side of the load and may create more appointment, paperwork, and cargo-control risk.

When it applies

  • A second or later pickup is added after the original booking.
  • The added pickup changes route miles, loading time, weight distribution, paperwork, or seal handling.
  • The event is tied to the load and is outside the basic linehaul move.
  • The broker, shipper, or receiver instructions create extra time, labor, mileage, or out-of-pocket cost.
  • The rate confirmation or written approval gives a path for requesting the charge.

What to check on the rate confirmation

  • Extra pickup pay, exact pickup address, appointment time, commodity, weight, and stop sequence.
  • Whether each pickup has separate detention or driver-assist terms.
  • Whether the charge is already included in the all-in rate.
  • Free time, approval process, dollar amount, and documentation requirements.
  • Who must approve the charge and whether a revised confirmation is required.

Common documentation

  • BOL or pickup paperwork for each origin, timestamps, seal notes, and revised instructions.
  • Written approval showing the added pickup was part of the booked load.
  • Arrival and departure times when time is part of the request.
  • Receipts, signed paperwork, gate records, emails, or text approvals.
  • POD, BOL, revised confirmation, and invoice notes.

Negotiation notes

  • Confirm the extra pickup before dispatching into the first stop.
  • Ask whether the added origin changes total miles, delivery appointment, or accessorial exposure.
  • Ask before the cost is incurred when possible.
  • Keep the request factual and tied to written load terms.
  • Do not assume approval from a phone conversation; request written confirmation.

Example wording

Please confirm the added pickup address, appointment, extra-pickup pay, and revised delivery expectations before dispatch continues.
